Token instructions

Using the token for the first time

You will have been given a generic PIN when you were issued with the token, which you must change as follows before you can use it.

  • Switch on the token by pressing the red button.
  • The display will show ENTER PIN
  • Enter the 4 digit PIN using the keypad under the display.
  • After entering the initial PIN the display will show NEW PIN
  • Enter a new PIN of your own choice.
  • Press the red button.  The display will show CONFIRM
  • Enter the new PIN again and press the red button.  If you re-enter your new PIN correctly, the display will show COMPLETE and your PIN will have been changed.

If you don’t re-enter the new PIN correctly, the display will show ERROR and you should start again by following the instructions above.

Normal use

If this is the first time you’ve used the token, you need to follow the instructions in section 1 above before continuing.

  • Either
    • Dial in as usual, or
    • for On-line via the internet users enter via the 'Access Online via the Internet (OLVI)' link on the Staff tab at the bottom of every page on the public website.
  • Please un-tick the “Save password” box on the dial in screen if necessary
  • Switch on the token by pressing the red button.
  • The display shows ENTER PIN
  • Enter your 4 digit PIN using the keypad under the display.
  • The display will briefly show **** and then go blank and show a flashing “----“.
  • Press the red button.

A random 8 digit number will appear for 60 seconds, which you should use as your password for that session.  The token will provide a different, random number each time it is used.

If you key in the wrong password an “ERROR 691” is displayed and you will need to start the process again from the beginning.

The token will switch itself off after 60 seconds or you can switch it off yourself by pressing the red button

Changing the PIN

  • Press the red button to switch on the token.  The display will show ENTER PIN
  • Enter the PIN and press the red button.  An eight digit password will be displayed.
  • Press the blue button.  The display will show CHANGE PIN
  • Press the red button.  The display will show NEW PIN
  • Enter the new PIN and press the red button.  The display will show CONFIRM
  • Enter the new PIN again and press the red button.  The display will show COMPLETE and the PIN will have been changed.  The token will then switch itself off.
  • If you don’t re-enter the new PIN correctly, the display will show ERROR then NEW PIN, and you should start again by following the instructions above.

General

  • You are allowed 6 attempts to enter the correct PIN before the token is locked.
  • After each entry with an incorrect PIN the display will show ERROR and the token will switch off. You will need to press the red button to switch the token back on.
  • The display will show LAST TRY for the PIN entry before the token is locked, the display will show LOCKED.
  • If you switch the token on again and try once more, an 8 digit number will appear however this will not allow you to logon. The login box will simply reappear.
  • If your token locks, ring the IT Service Desk on 0115 97 72010 (Option 1) during normal working hours to log a call to get it unlocked.
  • Once unlocked, the token will require a new PIN which must be different from the previous one.  Once completed you will be able to change it back to your original one following the instructions in section 3.

Lost or damaged token

  • You will need to call the IT Help Desk to log a call for it to be replaced.
  • There will be a charge of £25 inc. p&p for the replacement so you will also need to provide a cost code.
